The terms used in LeavePilot and in this guide, from A to Z.

Administrator Whoever runs the organisation: people, requests, settings, reports. The first one is whoever created the workspace.

Allowance The yearly days available for a leave type. It can be general, per country, per department or personal.

Attestation The PDF that proves the organisation accepted a legal document, with version, date and the fingerprint of the text.

Audit log The trail of significant actions (sign-ins, approvals, changes, deletions) kept by the platform.

Available For each leave type, the allowance minus the days used minus the pending ones, in the current year.

Booked Days of approved leave that have yet to start.

Company closure A period defined by the administrator, shown in the calendar as an indication. It does not reduce the days deducted.

Department A unit of the organisation, with a city, a country and, if you want one, a manager.

Department manager An employee named as head of a department. In the Admin and department manager mode they approve the requests of their own unit.

Fingerprint (SHA-256) A string of characters computed from the text of a document: if the text changes, the fingerprint changes. It is used to check that an accepted document has not been altered.

Hourly request A personal day or a smart working day expressed in hours (from 1 to 8 per day) instead of as a full day.

Invitation The way an administrator adds a person: it creates the account and sends a temporary password.

Leave type Vacation, Personal day, Sick Leave or Smart Working.

Override An allowance different from the general one, set for a country or a department.

Pending The status of a request not yet decided, or of a registered person not yet approved.

Personal exception A vacation allowance set by the administrator for one single person, which beats every other allowance. The interface labels it Eccezione personale, left untranslated.

Platform (email provider) LeavePilot's own mail service, sender noreply@leavepilot.app, used when the organisation does not configure one of its own.

Public holiday A day of the country which, when marked Holiday, is not deducted from your vacation. Marked Working Day, it counts as a normal day.

Seat A unit of the plan: it is taken by every person who is active, invited or waiting for approval.

Smart Working Remote work, for a full day or by the hour, over one or more days.

Taken (already taken) Days of approved leave that have already started, including the ones under way.

Trial The initial 14 days with the Pro features, no credit card.

Used Taken plus booked.

Workspace The address of an organisation, nome-azienda.leavepilot.app or a custom domain, that you sign in from.
