Introduction to LeavePilot
What LeavePilot is, who uses it, which address you sign in from and how this guide is organised.
LeavePilot is the platform a company uses to manage staff absences: vacation, hourly leave, sick leave and smart working. Everyone files requests from a phone or a computer, whoever has to approve does it with one click, and balances update on their own.
What it covers
| Type of leave | How it is counted | Who approves it |
|---|---|---|
| Vacation | in working days, deducted from the annual allowance | according to the approval mode the administrator has chosen |
| Personal day | as a full day or by the hour (1 to 8 hours in a day) | same as above |
| Sick leave | in working days, with a mandatory medical certificate | same as above |
| Smart Working | as a full day or by the hour, across several days too | same as above |
Weekends and the public holidays of each person's country are not deducted: LeavePilot recognises them and leaves them out of the count. The details are in Leave types and balances.
Two addresses, two worlds
LeavePilot has a public site and a workspace for each company. That is the first thing to know, because your credentials only work in the right place.
- The public site,
leavepilot.app, presents the product and hosts this guide, the legal documents and the form for creating a new organisation. You cannot sign in here. - Your company workspace has an address of its own, in the form
company-name.leavepilot.app, or a domain the company has chosen (for exampleleave.yourcompany.com). This is where you sign in, register, request leave and approve it.
Who it is for
There are three roles on the platform. Every page of this guide says at the top who it is for.
| Role | What they can do |
|---|---|
| Employee | Requests leave, looks at their own calendar and balances, updates their own profile. |
| Department manager | An employee who, in addition, approves or rejects the requests of the people in their department, when the administrator has turned that mode on. |
| Administrator | Manages employees, departments, countries and public holidays, approves requests, reads the reports and configures every organisation setting. |
The page Roles and permissions compares the three roles in detail.
Languages and devices
The interface is available in Italian, English and Spanish. The language is proposed automatically by the browser and you can change it at any time from the selector at the top; emails addressed to you arrive in the preferred language set in your profile.
LeavePilot works in any recent browser, on a computer and on a phone. On a phone you can add it to the home screen like an app: see LeavePilot on your phone.

Names and examples
The people, companies and addresses that appear in the examples and images in this guide are made up. When you read "Aurora Componenti" or "Giulia Ferrero", replace them with your own organisation and your own colleagues.
