Approving your team's requests

For the department manager: when the Team Requests tab is available, what it shows, how you approve or reject, and which rules the platform applies.

If an administrator has named you Manager of one or more departments, the Team Requests tab appears in your area. From there you approve or reject the requests of the people in your departments.

When you can approve

You can decide a request only if, in Request approval, the organisation has chosen the Admin and department manager mode. With the other modes the tab shows the team's requests, but every decision belongs to the administrators: if you try, the action has no effect, the dialog closes and the request stays Pending, with no message.

The rules the platform applies to every decision:

  • you can never decide on your own requests;
  • you can only decide requests from people assigned to a department you manage; for someone with no department an administrator decides;
  • your account must be active.

In this mode you also receive the New {type} Request from {name} email for every request from the people in your department.

What the tab shows

The title is Team Requests, with the line Managed departments: {names}. Below it you get the same view administrators use:

  • the Holiday Requests Management heading with {n} total requests • {n} pending • {n} approved and the Refresh button;
  • four counters: pending, approved, rejected, total;
  • the Search a request box, by name or department;
  • the status filters (All statuses, Pending, Approved, Rejected) and the type filters (All types, Vacation, Sick Leave, Personal, Smart Working);
  • the table with Employee, Request (submission date), Period, Days, Type, Status, Actions, sortable from the headers.

The list covers every request, in any status, from the people in your departments, plus your own and the approved leave of every colleague in the organisation, whatever visibility the administrator has chosen. On a phone each request is a card that opens in detail.

Approving

On the row of a Pending request press the green icon (its tooltip reads Approva richiesta, Italian for "approve request", left untranslated). In the Approve Holiday Request dialog you can write a Message (optional), which the person will read in the confirmation email. Press Approve Request.

The request becomes Approved, the days are recorded against the person's balance and the approval email goes out.

Rejecting

Press the red icon (tooltip Rifiuta richiesta, Italian for "reject request", also untranslated). In the Reject Holiday Request dialog you can give a Reason (optional), which will appear in the email and in the person's history. Press Reject Request.

Changing a decision already made

On an Approved request the red icon stays (tooltip Cambia stato ad rifiutata, Italian for "change status to rejected", untranslated), on a Rejected one the green icon. It opens Confirm Request Status Change, with the summary and a warning: You are about to modify the status of an already processed request. If you reject an approved request, the days become available to the person again; if you approve a rejected request, they are deducted. The person receives the email for the new decision.

Several requests at once

Selecting more rows with the checkboxes brings up the bar with Approva Selezionate and Rifiuta Selezionate (Italian for "approve selected" and "reject selected", left untranslated in the interface). The actions run straight away, with no confirmation dialog, and each person receives their own email. Bulk rejection does not allow a reason: the history shows No reason provided.

The detail of a request

The three dot icon (or tapping the card on a phone) opens Holiday Request Details: name, department, Period, Working days, Type, Status, Request date, Notes and, for sick leave, the Medical Certificate section with the commitment taken or the note of the uploaded file.

The certificate's Download button appears to you as well, but for a manager it answers Error downloading certificate: only an administrator, or the person who uploaded it, can download the file.

Your own requests

Your requests follow the Department manager holiday requests setting: they start out waiting for an administrator, or already approved if the organisation has chosen automatic approval for managers.
