Holiday visibility

Who can see other people's absences in the calendar: everyone, only their own department, or only administrators.

The Visibility section (Holiday Visibility, "Control who can see other employees' holidays") decides which calendar views employees get. Administrators always see everything.

Everyone sees everything (default)their own requests in every status and the approved absences of all colleagues; in the calendar they get the My holidays, Team holidays and All views
Department onlytheir own requests and the approved absences of colleagues in their own department; My holidays and Team holidays views; anyone with no department sees only their own
Administrators onlyonly their own requests; My holidays view

In every mode, of other people's absences you only see the approved ones, never pending or rejected requests. Department managers also see every request, in any status, for the departments they manage. Colleagues' email addresses are not shown to employees.

If an employee has a view open that the new setting no longer allows, the calendar switches by itself to the widest view still available.

  • The team holiday summary sent to administrators always shows everyone's approved absences, whatever this setting says.
  • The two toggles in the Departments (settings) section do not change visibility: only the options on this page count.
